What thing will you always need for your fax machine, printer, multifunction printer, laminator, labelling machine or multifunction fax machine? The answer is ink, in whatever form the machine uses - toner, ink cartridge, ink film or gel cartridge. Ink comes in various forms depending on what kind of machine you have...

Thermal transfer machines use an ink film or ink roll to get the print onto plain A4 paper. This ink film in installed into a plastic frame, or cartridge, which is then inserted into the machine. The machine will heat up the ink film which transfers ink from the heated sections onto the plain paper. Ink film fax machines are good for users who do not receive many faxes as the ink film will not dry up if left unused. The downside with ink film technology is that they always use an A4 size piece of ink film for each print - whether it is a full page of text or a single line.

Inkjet products use ink cartridges to produce the faxed or printed documents. Ink cartridges are small plastic cartridges full of ink which are inserted into your fax machine, printer or multifunction printer and drawn across the document releasing ink at the required moments. Ink cartridges are more cost effective than ink films as they only use as much ink as they need to in order to produce the document being printed. Ink cartridges will also generally last longer than ink film rolls. The negative side of ink cartridges is that, if usued for a very long period of time, they can dry up and need to be replaced. Modern machines prevent this from happening by self cleaning on a regular basis, but this can cause the cartridge to need replacing even if you have not been using it.

Laser technology is the most cost effective form of producing print. The ink comes in the form of a toner cartridge which contains toner (powdered ink) and a drum unit. The drum unit is a consumable which gets the paper into the correct place for the toner to be applied and slowly rotates, wearing itself down. A drum will usually last longer than a toner cartridge. Some manufacturers combine the toner cartridge and drum unit into one consumable item (sometimes called a process unit) which can make it an easier task to replace the consumables as you only have one thing to change. Toner cartridges will generally last for several thousand pages, making them more cost effective than both ink film rolls and ink cartridges. The initial cost of the machine and consumables will be higher than the other printing methods, but this money will be saved several times over in the long term through running costs.

Colour laser machines use the same powdered ink as other laser machines, but contain a total of up to four toner cartridges and a combination of drum units, belt cartridges and imaging units. The reason that colour laser machines have so many toner cartridges is simple - to be able to produce all possible colours, they need to have the basic colours available. Colour toner cartridges are available in black, cyan (light blue), magenta (pinky red) and yellow and, through combinations of these colours, produce all the colours required. Having separate toner cartridges saves money as if one colour of toner runs out, you only have to replace that colour toner cartridge, not all of them. Some colour laser printers will also have four colour drums at maximise internal efficiency while all colour laser machines will also require some other consumables. These other consumables can range from transfer belts to imaging units and vary from manufacturer to manufacturer as which a machine will require depends on the internal workings of the machine.

Ricoh have a range of colour printers and multifunction colour printers which use a unique gel cartridge. These gel cartridges reproduce colours more vividly than colour laser cartridges yet have a lower cost per copy. The soya based gel the gel cartridges use is one of the many environmentally friendly features these machines have.

There are a number of different laminator technologies available. Normal laminators use laminator pouches which house the document and are then heated up, sealing the document inside. The other technology is called cool lamination and works in the same way, using laminator rolls or laminator film to produce the same results as normal lamination, but without the heat.
